1. Terms of Service
1.1 Acceptance
By creating an account or using ThePot (the “Service”), you agree to be bound by these Terms. If you do not agree, do not use the Service.
1.2 Eligibility
You must be at least 18 years of age and legally permitted to participate in skill-based gaming contests in your jurisdiction. ThePot operates in the United States. It is your responsibility to verify that participation is lawful where you live. Do not use ThePot from states or localities where skill-based money pools are prohibited.
1.3 Accounts
You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Notify us immediately at support@thepotleague.com if you suspect unauthorized access.
1.4 Leagues and the Commissioner
ThePot is a platform that enables league commissioners to organize skill-based fantasy sports contests. The commissioner creates a league, sets the entry fee, defines payout rules, and has final authority over dispute resolution within their league. ThePot is a neutral platform provider and is not a party to any league-level dispute.
1.5 Skill-Based Contests — Not Gambling
Fantasy sports are legal skill-based games in most U.S. states. Some states have restrictions; you are solely responsible for compliance with local laws.
1.6 Prohibited Conduct
- Using ThePot from a jurisdiction where skill-based contests are prohibited.
- Creating fake accounts or misrepresenting identity.
- Manipulating league standings or outcomes.
- Using automated tools to gain an unfair advantage.
- Any use that violates applicable law.
1.7 Termination
ThePot reserves the right to suspend or terminate accounts that violate these Terms. Commissioners may also remove members from their leagues at their discretion.
1.8 Limitation of Liability
ThePot is provided “as is.” To the fullest extent permitted by law, ThePot and its operators are not liable for any indirect, incidental, or consequential damages arising from your use of the Service, including disputes between league members or payment processing errors. Our maximum aggregate liability is limited to the platform fees you paid to ThePot in the 12 months prior to the claim.
1.9 Changes to Terms
We may update these Terms. Material changes will be communicated via email or an in-app notice. Continued use after the effective date constitutes acceptance.
2. Payment & Fee Disclosure
2.1 Entry Fees
Entry fees are set by the league commissioner. Each member pays the stated entry fee to join the league pot. All amounts are in U.S. dollars.
2.2 Payment Methods
ThePot accepts the following payment methods:
- Credit and debit card — processed securely by our licensed payment processor. ThePot never stores your card number, CVV, or billing address. Card data is handled exclusively by the payment processor and never touches ThePot servers.
- External payment (Venmo, cash, bank transfer, etc.) — members may pay by any method agreed with the commissioner. The commissioner manually records these payments in ThePot. ThePot does not facilitate or verify these transactions.
2.3 ThePot Platform Fee
ThePot charges a 5% platform fee taken from the total pot at payout. This fee is deducted before winners receive their share. Example: a 10-person league at $50/player has a $500 pot; ThePot retains $25, and $475 is distributed to winners per the payout rules.
There are no upfront fees to create a league or invite members.
2.4 Escrow and Payout
Entry fees are held in secure escrow until the commissioner finalizes the season. Payouts are then distributed to winners within 1–3 business days. Winners must have a valid payout method configured.
2.5 Refund Policy
Refund eligibility is determined by the league commissioner. Typical scenarios:
- League cancelled before season starts — all paid members are eligible for a full refund. The commissioner initiates the refund via ThePot.
- Member requests withdrawal after joining — at the commissioner’s discretion. ThePot will process a refund if approved by the commissioner.
- Season finalized and payouts distributed — refunds are not possible once payouts have been sent.

2.6 Payment Processor Terms
Card payments are processed by a licensed third-party payment processor. By paying by card, you agree that your payment data is processed subject to that processor’s terms and privacy policy.
3. Privacy Policy
3.1 Information We Collect
- Account information — name, email address, and authentication credentials.
- League activity — leagues you create or join, standings, payment status (paid / unpaid).
- Payment records — confirmation of payment, transaction IDs (not card numbers).
- Usage logs — pages visited, actions taken, IP address, browser type. Used for security and service improvement.
- Custom theme settings — colors and background images you configure (stored in your account preferences).
3.2 How We Use Your Information
- To operate the Service — manage leagues, process payments, distribute payouts.
- To send you notifications — payment confirmations, payment reminders, payout alerts.
- To improve ThePot — analyze usage patterns and fix bugs.
- To comply with legal obligations — fraud prevention, tax reporting where required.
3.3 We Do Not Sell Your Data
ThePot does not sell, rent, or share your personal information with third-party advertisers or data brokers.
3.4 Third-Party Services
- Payment Processor — card and payment processing. Our payment processor has its own privacy policy and security standards.
- Keycloak — authentication and identity management.
- Anthropic Claude — powers the AI Scout and AI suggestions features. Prompts sent to AI features may include anonymized league data (no payment data or card details).
3.5 Data Retention
We retain account data as long as your account is active. You may request deletion of your account and associated data at any time by emailing support@thepotleague.com. Payment records may be retained for up to 7 years as required by financial regulations.
3.6 Cookies and Storage
ThePot uses browser localStorage to remember your theme preference and session. We do not use third-party advertising cookies.
3.7 Security
We use TLS encryption for all data in transit. Passwords are hashed and never stored in plain text. Card data is handled exclusively by our payment processor and never touches ThePot servers.
3.8 Your Rights
You have the right to access, correct, or delete your personal data. To exercise these rights, email privacy@thepotleague.com.
